1. Introduction

This policy explains how Green Tech Painting handles your personal information. It covers the information we collect when you visit our website, when one of our sales representatives prepares an estimate for you using our internal application GreenQuote, and when you contact us by phone or email.

We wrote this policy to follow the Personal Information Protection and Electronic Documents Act of Canada (PIPEDA) and, where it applies, the Act respecting the protection of personal information in the private sector of Quebec (Law 25).

2. What this policy covers

This policy applies to:

  • People who visit https://greentechpainting.com.
  • Customers and prospective customers whose information we capture when our sales representatives prepare painting estimates on a company iPad.
  • Anyone who contacts us by phone, email, or through the contact form on our website.

It does not apply to other websites that we link to. Each of those has its own privacy practices. It also does not apply to anything you share with Intuit (the company behind QuickBooks Online) directly, outside of our work with you.

3. Who we are

Green Tech Painting is a painting company that operates in Canada. We offer interior and exterior painting services to homes and businesses.

Green Tech Painting currently operates primarily in the province of Ontario. This policy will be updated when operations expand to other Canadian provinces or open new franchise locations, to reflect any additional provincial privacy requirements that may apply.

For purposes of PIPEDA, Green Tech Painting is the organization responsible for the personal information described in this policy.

4. What information we collect

4.1 Information you give us

When you ask for an estimate, hire us, or contact us, we ask for things like:

  • Your first and last name.
  • An email address.
  • A phone number.
  • A postal address (street, city, province, postal code, country).
  • Details about the painting work you need (room dimensions, surfaces, project type, preferred dates).
  • Anything else you choose to share with us while we talk.

4.2 Information our website collects automatically

When you visit https://greentechpainting.com, our hosting and analytics tools record some technical details: your IP address, your browser type, the pages you open, how long you stay, the site that brought you to us, and the date and time of your visit.

Our website also uses advertising and analytics pixels from third party platforms to measure the performance of our marketing campaigns and to show our ads to people who may be interested in our services. The platforms currently in use are:

  • Google Ads (operated by Google LLC), to measure conversions and remarket to website visitors.
  • Meta pixel (operated by Meta Platforms Inc., for Facebook and Instagram ads), with the same purpose.

We use this information for security, to spot fraud, to understand how the site is used, and to evaluate the performance of our advertising. The site may set cookies and these pixels may set their own cookies. You can manage cookies from your browser settings if you want to limit them, and you can opt out of personalized ads at the platforms directly (Google: https://adssettings.google.com, Meta: https://www.facebook.com/adpreferences).

4.3 Information recorded inside the GreenQuote application

GreenQuote is the internal sales application that runs on the company iPads our sales representatives carry when they meet customers. When a representative prepares an estimate for you using GreenQuote, the iPad records:

  • Your contact and address details (from section 4.1).
  • The estimate itself (room measurements, paint products chosen, calculated price).
  • A reference ID returned by QuickBooks Online once we sync your customer record into our accounting system.

This information lives locally on the iPad through Apple's Core Data framework. It is then sent to QuickBooks Online (operated by Intuit Inc.) as we explain in section 6.

4.4 Authentication information

So that GreenQuote can talk to QuickBooks Online on behalf of Green Tech Painting, we store an OAuth 2.0 access token and a refresh token issued by Intuit. These tokens authorize the application to act on behalf of our QuickBooks company account. They do not give access to your personal QuickBooks account, if you have one. The tokens are stored encrypted on the iPad and are not readable by you or by anyone else.

5. How we use your information

We use the information described above to:

  • Prepare the painting estimate you asked for.
  • Talk to you about the estimate, schedule the job, and follow up after the work is done.
  • Create or update your customer record in QuickBooks Online, which is the accounting and invoicing system we run our business with.
  • Send invoices and process payments after the work is done.
  • Answer your questions and handle customer service requests.
  • Meet our legal, accounting, and tax obligations under Canadian law.
  • Improve the website and the way we run the business.

5.1 Marketing communications

Green Tech Painting does not run mass email marketing campaigns. We do, from time to time, contact existing customers with low frequency invitations connected to our environmental focus, such as tree planting initiatives with our partners, or pickup services for old paint cans for proper disposal. These communications are sent to customers we already have a relationship with, not to purchased lists.

You can opt out of these communications at any time by writing to customerservice@greentechpainting.com with the word "unsubscribe" in the subject line, or by clicking the unsubscribe link included in any of our messages. We will remove you from the marketing list within a reasonable time after we receive your request. Opting out of marketing does not affect transactional communications (estimates, invoices, service notifications) that we need to send you to deliver the service you hired us for.

We do not use your information for profiling or for decisions made by a machine without a person in the loop. We do not sell your information to anyone.

6. Who we share your information with

6.1 Intuit Inc. (QuickBooks Online)

Green Tech Painting uses QuickBooks Online, run by Intuit Inc., as its accounting and invoicing system. When you become a customer or a prospective customer, we send the following pieces of information to QuickBooks Online so we can create or update your customer record:

  • Name (given name, family name, and the display name we use for you).
  • Email address.
  • Phone number.
  • Billing address (line 1, city, province, postal code, country).
  • Customer type (an internal label we use to organize our customer list).
  • Estimate line items and amounts.

Intuit Inc. handles this information based on its own privacy statement, which you can read at https://www.intuit.com/privacy/statement/. When you become our customer, you accept that this transfer to Intuit will happen.

6.2 Payment processors

When you pay for our services, we accept two payment methods:

  • e-Transfer (Interac e-Transfer): a Canadian bank to bank transfer. The bank handles the transaction; we only see the confirmation that the payment arrived.
  • QuickBooks Payments (operated by Intuit Inc., the same company behind QuickBooks Online): for credit and debit card payments. QuickBooks Payments processes the card information on its own infrastructure. We do not store full card numbers; we only see the transaction record returned by QuickBooks.

Both payment methods are governed by the privacy practices of the financial institutions and Intuit. By choosing to pay through either method, you accept that your payment information is handled by those providers.

6.3 Service providers

We also share information with the small number of providers we rely on to run the business:

  • Hosting provider (Bluehost) for the website https://greentechpainting.com.
  • Business email provider for our @greentechpainting.com email accounts.
  • Calendly for scheduling appointments with prospective customers.
  • Google Ads and Meta for the advertising and analytics measurement described in section 4.2.

We are also in the process of implementing ERPNext as our enterprise resource planning and customer relationship management system. When ERPNext is in active use, this policy will be updated to reflect the role it plays in handling customer information.

These providers have to keep your information safe and can only use it for the task we hire them for.

6.4 Legal disclosures

We will share your information if the law requires us to (for example, a court order or a request from a tax authority), or if we believe in good faith that sharing it is needed to protect our rights, your safety, or the safety of someone else.

6.5 If the business changes hands

If Green Tech Painting is sold, merges with another company, or transfers part of its assets, your information may be transferred to the new owner. If that happens, we will tell you by email or with a clear notice on our website before any change in how your data is handled.

We do not sell, rent, or trade your personal information to anyone for marketing purposes.

7. How we keep your information safe

7.1 On the company iPad running GreenQuote

The information stored on the iPad is protected by:

  • iOS device encryption while the iPad is locked.
  • The fact that iOS keeps each app's data isolated from every other app.
  • Encrypted storage of the OAuth tokens in Apple's Keychain.
  • Physical control of the iPad. Only authorized sales representatives use it.

7.2 On QuickBooks Online

Information we send to QuickBooks Online is protected by Intuit's own security controls, including encryption in transit (TLS) and at rest, multi factor authentication on our company account, and the security practices Intuit applies as a financial software provider.

7.3 On the website and email

The website uses HTTPS to encrypt traffic between your browser and the server. The hosting and email providers we use apply security practices that are standard for businesses of our size.

7.4 Limits

No system is perfect. We take reasonable steps to protect your information, but we cannot promise that nothing will ever go wrong. If we ever learn that a breach has affected your data, we will tell you and the right authorities, as Canadian law requires.

8. How long we keep your information

We keep your information for as long as we need it for the reasons described in this policy and for as long as the law requires us to.

In practice:

  • Customer contact details and estimate records stay with us while you are an active customer, and for seven years after the last interaction with you. This matches the record keeping period required by the Canada Revenue Agency for accounting purposes.
  • Website analytics data is kept for at most twenty six months.
  • Emails are kept for as long as we need them to provide service and to handle anything that comes up later.

For clarity, an "interaction" includes any contact between you and Green Tech Painting, regardless of whether it produces a service or a transaction. This includes emails we send to you (even if you do not reply), phone calls, estimates prepared, payments received, services delivered, and remarketing communications such as invitations to community initiatives like tree planting events or paint disposal pickup. The seven year counter restarts with each new interaction. This means that long term customers who continue to receive occasional communications from us remain on file as long as that relationship is active.

When the time runs out, we delete the data or make it impossible to link to you.

9. Your rights

9.1 Under PIPEDA (federal Canadian law)

You can:

  • Access: ask us for a copy of the personal information we have about you.
  • Correct: ask us to fix anything that is wrong or out of date.
  • Withdraw consent: tell us to stop using your information, with reasonable notice. We will follow that request as long as it does not conflict with legal or contractual obligations. Pulling consent may mean we cannot keep serving you.
  • Complain: raise a concern with us about how we handle your information.

9.2 If you live in Quebec, you also have rights under Law 25

Quebec Law 25 gives you a few extra rights, including:

  • De indexation: ask us to stop spreading your personal information or to take down links to it if doing so breaks the law.
  • Information about automated decisions: be told if we ever use your information to make a decision based only on automated processing. We do not do that today, but if we ever start, we will tell you.
  • Data portability: receive your personal information in a structured, commonly used format. This right is being rolled out in stages under Quebec law.

9.3 How to ask

To use any of these rights, write to us at the address in section 13. We will reply within thirty days of getting your request. We may ask you to confirm your identity before we hand anything over.

Our services are for adults who are hiring us for painting work. We do not knowingly collect personal information from anyone under the age of 14 in Quebec, or under the age of 13 anywhere else in Canada. If we find out that we did, we will delete it.

11. Information that crosses borders

QuickBooks Online is run by Intuit Inc., a company based in the United States. When we send your information to QuickBooks Online, that information may be stored and processed on servers outside Canada. Once it leaves the country, it can also be subject to the laws of the place where it ends up, including legal requests from foreign authorities.

We have reviewed Intuit's privacy practices and consider them consistent with Canadian privacy law. By doing business with us, you accept that this cross border transfer happens.

12. Changes to this policy

We will update this policy from time to time when our practices change, when the law changes, or when we adjust the way we run the business. When the change is meaningful, we will update the "Last updated" date at the top of the document and, if it makes sense, send you an email or post a clear notice on the website.

It is a good idea to read this page once in a while.
